SHIVPUJA MANAGEMENT, LLC operates this website and the management station behind it as a resource for property owners and their teams. This Privacy Policy describes, in plain and complete terms, the personal information that comes into our care, the reasons we hold it, the ways we protect it and the rights you hold over it. The station was designed and is maintained by the developer Shivpuja, and this policy applies to every visitor, inquirer, portfolio owner and vendor who shares information with us.

You should read this policy together with our Terms of Service, which is available through the footer of every page and sets out the broader rules of using this website and engaging our oversight programmes. If any term below is unclear, please write to the memo line and a member of the desk shall answer plainly before you agree to anything.

Nothing in this policy should be read to transfer ownership of any personal information; we remain a caretaker of the data you entrust us with and your rights as the individual remain at all times intact.

A plain language overview

Before the detail, here is the short version. We collect only the information needed to answer a memo, prepare a proposal or run an approved management programme. We use that information for the purpose you gave it and for the lawful operations of the Company. We do not sell your personal information to anyone. We do not trade it for money, and we do not trade it in kind. We share data only where the law requires it, where a vendor needs it to perform work you asked for, or where you gave clear consent.

Technical information such as the pages you view is used sparingly to keep the website working and to understand broad patterns of use, not to build a profile of you as an individual. In every case we aim to keep your information for no longer than necessary and to guard it with physical, administrative and technical safeguards that are reasonable for a firm of our size operating in the computer systems and integrated design sector. If you ever disagree with this approach you may withdraw consent, restrict processing or ask us to delete your records, subject to the limits described later in this policy.

Definitions you should know

Personal information means any information that identifies you or could reasonably identify you, whether standing alone or when combined with other data we hold. Examples include your full name, a business email address that contains your name, a telephone number, a postal address, or an account identifier linked to you. Some legal regimes use the phrase personally identifiable information or PII with a similar meaning.

Business contact information means the name, role, employer, work address, work email and work telephone of a person acting in a professional capacity for a property owner or vendor. Processing means any operation performed on personal information, including collecting, recording, organising, storing, adapting, retrieving, using, disclosing, combining, restricting, erasing or destroying it. A processor is a separate organisation that handles personal information only on our instruction, such as a mail host. A controller, which the Company is for most data it holds, decides why and how personal information is processed. This policy uses these terms consistently to keep the rest of the document readable.

Information we collect

We collect only the categories of personal information that serve a real purpose in our operations. The first category is contact and identity data, such as your name, email address, telephone number, postal address and the organisation you represent. We receive this data directly when you complete the memo form on the contact page, send us an email, or telephone the desk. The fields on our forms are intentionally few and we do not ask for information that we cannot put to an honest use.

The second category is enquiry and portfolio data, which includes the content of your memo, the description of your properties or assets, your written questions and any documents you attach. The third category is technical data, which includes the internet protocol address assigned to your device, the browser and operating system you use, the pages you visit, the referring web address and the date and time of your visit. Much of this third category arrives automatically through the normal operation of the website and is described further under the heading relating to cookies.

How information reaches us

Personal information reaches us through four ordinary routes. First, you give it to us directly when you complete a form, send a memo, request a proposal or respond to a question from the desk. Second, you give it to us when you correspond with us by telephone or postal mail. Third, technical data collects automatically as you browse the site, driven by your device settings and the internet connection you use. Fourth, where a portfolio owner authorises the engagement, representatives of that owner and approved vendors may share operational contact details with us as part of the management work.

We regard information that you send as given freely and knowingly. We take reasonable steps to make it clear at the point of collection what we will do with the data. Where you send us confidential details about a property, such as a layout or a lease summary, we treat that material as confidential under the terms of any agreement and this policy, and we limit access to the individual members of the station who need it.

How we use your information

We use personal information for a defined set of tasks. The main task is to answer your memo and correspond with you about the station and its programmes. The second task is to prepare, deliver and improve the management services we agree to provide, which may include maintaining property records, scheduling inspections and coordinating vendors on behalf of a portfolio owner. The third task is to operate and secure this website, to prevent abuse and to keep our records accurate.

A further use is administrative and legal. We may use information to meet obligations under local, state and federal law, to respond to lawful requests from authorities, to enforce our Terms of Service, and to protect the rights, property and safety of the Company, its clients, its vendors and the public. We will not process your personal information for purposes that are materially different from, or incompatible with, the purposes described in this policy without notifying you and, where the law requires it, obtaining fresh consent.

Lawful grounds for processing

Where data protection law requires us to identify a lawful ground for processing, we rely on several. The primary ground is consent, which applies when you contact us by form or email and we process your details to respond to you; consent may be withdrawn at any time without affecting the lawfulness of processing that occurred before the withdrawal.

Secondary grounds include the performance of a contract, which applies when we deliver an agreed management programme; our legitimate interests, which include the security of our systems, the improvement of our site and the completion of administrative work that a reasonable individual would expect; and legal obligation, which applies where a statute demands that we retain or disclose certain records. Where we rely on consent for a specific activity, such as a commercial newsletter, we will separate that consent request from the ordinary running of the site so you can agree or decline freely.

Cookies and similar technology

Like most websites, we may set a small number of cookies when you visit. A cookie is a short text file that a server places on your device to remember preferences or to understand how the site is used. We keep the use of cookies modest. Vendors and contractors

As part of managing a property portfolio we may engage licensed vendors, inspectors, tradespeople and contractors to carry out the work at a site. When this happens on your instruction or under an authorised agreement, we may share with the selected vendor only the information required for them to perform the particular task, such as the property address, the point of contact and the scope of the scheduled work. We do not hand over your broader portfolio records, your payment data or your memo history to a contractor who is there only to fix one item.

Every vendor we engage is asked to respect the confidentiality of the information we share and to use it only for the assigned task. We maintain a short, vetted bench of vendors precisely so that we can be confident in how confidential information is handled beyond our own front door. Where a vendor is separately a controller of your data, such as an insurance provider you already deal with, they answer for their own processing under their own privacy notice.

Data security measures

Protecting your information is a standing duty, not a one off task. We apply technical, physical and administrative safeguards that are reasonable for a company of our size and for the sensitivity of the data we hold. These include secure and up to date access controls to our accounts, restricted access to the memos and portfolio files by individual name, routine review of who can reach what, and care in how documents are stored and ultimately discarded.

We also rely on the good judgement of our staff. Only the members of the desk who need a record to do their agreed work can reach it, and no one outside the Company sees your data without a lawful reason. Because no method of transmission or storage over the internet is ever completely secure, we cannot guarantee absolute protection, but we work to close the avenues that are within our control and we review these measures from time to time. If we ever learn of a breach that might affect you, we will act promptly to contain it and, where the law requires, notify you and the relevant authority without undue delay.

Data retention periods

We keep personal information only for as long as we need it for the purpose for which it was collected, or for as long as the law or a genuine business requirement demands. A simple enquiry, such as an email asking a question about the station, is typically retained only as long as the conversation remains relevant, up to a reasonable period after it closes, and then deleted or anonymised.

Where we carry an active management engagement, we retain the associated records for the life of that engagement and for a sensible period afterwards to support warranty, tax, insurance and any dispute or audit purposes. Legal and financial records are kept for the periods required by applicable law, after which they are securely destroyed. We review our retention schedule from time to time and aim to err on the side of deleting old information rather than hoarding it, because a smaller ledger is easier to protect.

Children

The services we provide are directed to adults who own, manage or maintain property and ground. The station has no reason to collect personal information from children, and we do not knowingly collect personal information from anyone under the age of thirteen. Our website is not designed to attract minors, and we do not market our oversight programmes to children in any way.

Rights under US state laws

Residents of several US states, including California, Colorado, Utah, Connecticut and Virginia, hold enhanced privacy rights under their local statutes. Where these laws apply to the Company, we honour them fully. A resident of such a state generally has the right to know what categories of personal information we collect and use, the right to ask for deletion, the right to correct inaccurate information and the right not to be discriminated against for exercising these rights.

We confirm that SHIVPUJA MANAGEMENT, LLC does not sell personal information and does not share it for cross-context behavioural advertising in the sense used by these laws. Because we do not sell or use your data for such advertising, we do not need to offer an opt out from those specific activities. Requests are handled without charge, and we will confirm within the period the applicable law sets. If you believe a request was not handled fairly, you may also have the right to appeal our decision or to refer the matter to your state attorney general.

International transfers

Marketing and newsletters

We do not run a general interest newsletter about the station, and we avoid sending commercial messages to people who have not requested them. Where we do send a genuine update to a client or an inquirer, it is limited to matters that are relevant to their portfolio, such as a change in the law affecting property oversight or an improvement to a contracted service. We will not add you to a mailing list without a clear and separate consent that you can withdraw at any time.

Every commercial message we send, should one ever be issued, will carry a simple way to stop future messages, such as an unsubscribe link or a reply instruction. There is no obscure route and no waiting period. If you ask to stop receiving a particular kind of message we will honour that request promptly, while continuing the operational management messages that are necessary under an active agreement with your properties.

Do not track signals

Some browsers and devices offer a do not track setting that sends a signal to websites asking them not to track the visitor across the web. Because the station performs only modest and functional tracking that is limited to the operation of our own site, we do not currently alter our behaviour specifically in response to do not track signals. This does not mean we collect a wide amount of data; it means the modest collection we already perform does not depend on a do not track setting.

If a recognised standard for responding to do not track signals becomes widely adopted, we will review this position and update this policy accordingly. In the meantime, if you prefer not to share technical data with us, the most effective tool is your browser settings to block or clear cookies and, where your device allows, to browse with privacy features enabled. Nothing you choose will affect your ability to read the public content of this site or to write to the desk directly.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our operations, in the law or in the technology we rely on. When meaningful changes are made, we will revise the effective date shown at the top of this page and, where the change is significant or where the law requires active notice, we will draw your attention to it the next time the desk communicates with you. We recommend that you review this page occasionally so you remain aware of how your information is handled. Because the archive of older policies can itself raise retention questions, we do not reconstruct every historical version here, but we will keep the current terms clearly dated and readable.
